WHO IS GLOBAL WATER CENTER?
Global Water Center (GWC) is an innovative nonprofit organization dedicated to eradicating water poverty worldwide. We work collaboratively with a range of partners to provide access to safe and affordable drinking water. Our mission is to build technical competence and professionalism within the Water, Sanitation, and Hygiene (WASH) sector, with a focus on collective action, capacity development, and stakeholder engagement.
WHAT IS THE OPPORTUNITY?
The Part-Time Admin Support / Program Specialist will play a crucial role in providing administrative and programmatic support to the Sr Director of Collective Action. This role is essential for the smooth functioning of GWC’s initiatives by ensuring effective communication, coordination, and management of day-to-day operations. The ideal candidate will be highly organized, proactive, and able to manage multiple tasks efficiently.
This position is based in Copenhagen, and offers flexibility to work part-time. The role requires occasional in-country travel and potentially international travel. The GWC work environment is dynamic, fast-paced, and supportive, with a strong focus on collaboration.
KEY RESPONSIBILITIES:
Administrative Support:
- Manage day-to-day administrative tasks, including scheduling meetings, preparing agendas, taking minutes and keeping records.
- Handle correspondence with partners, consultants, and other stakeholders, ensuring timely communication and follow-up.
- Organize travel schedules, including visa arrangements, insurance, and itinerary planning.
- Manage document flow, including tracking expenses and ensuring proper documentation for financial records.
- Assist in establishing and managing a charitable GWC foundation in Denmark, ensuring compliance with local regulations, coordination with stakeholders, and alignment with GWC's mission.
Communication and Coordination:
- Coordinate interactions with internal and external stakeholders, including scheduling meetings, preparing briefs, and following up on action items.
- Draft and review external communications, such as proposals, concept notes, reports, and presentations for stakeholders.
- Assist in maintaining effective communication channels between GWC and its partners, ensuring alignment and smooth execution of collective action initiatives.
- Collaborate closely with the Director of Global Engagement, to support social media and engagement efforts, including creating content for European audiences.
- Assist in updating and localizing communication materials for the European context, ensuring that the language and messaging are culturally relevant and impactful.
Project Management Support:
- Assist in monitoring the progress of ongoing projects by compiling regular updates and reports.
- Provide project management support by tracking milestones, deadlines, and deliverables, ensuring that projects stay on course.
- Strategic Planning Assistance:
- Stay informed on stakeholder and partner developments to provide insights for strategic planning.
- Assist in reporting on project outcomes and gathering data for use in strategic decision-making.
WHAT IS REQUIRED?
- Alignment with GWC’s core values of love, excellence, and integrity, with a commitment to contributing to the global mission of ending water poverty.
- Bachelor’s degree or equivalent experience in a related field (e.g., business administration, international development, environmental studies).
- Minimum of 3 years of experience in an administrative or project support role, preferably in the nonprofit or international development sector.
- Strong organizational skills, with the ability to manage multiple tasks and priorities efficiently.
- Excellent written and verbal communication skills in English; proficiency in Danish and French
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Salesforce and project management tools is an advantage.
- Ability to work independently and as part of a team, with a proactive and problem-solving mindset.
- Experience in proposal writing, report preparation, and research is highly desirable.
- Ability to manage time effectively and work flexibly in a dynamic environment.
- Willingness to travel occasionally within Denmark and potentially internationally.
