The Leasing Administrative Assistant provides essential administrative and operational support to the Leasing Department, ensuring the smooth and efficient execution of day-to-day leasing activities. This role involves managing data accuracy, coordinating documentation, assisting with marketing and reporting tasks, and supporting the leasing team with critical project deliverables. The ideal candidate is detail-oriented, proactive, and skilled at managing multiple priorities in a fast-paced commercial real estate environment.
Manage portfolio review requests, coordinating with Task Wizard to ensure accurate and timely completion of deliverables. Process leasing business travel expenses and maintain organized financial and reporting records. Create, update, and maintain accurate databases, reports, and records of all leasing-related documentation. Conduct availability list, site plan, and listing agreement audits to ensure data integrity and compliance with internal standards. Maintain confidentiality of all lease-related and financial information. Use Adobe Illustrator to update and maintain accurate site plans for active properties. Maintain and regularly update the company’s marketing page on Commercial Edge, ensuring property listings and availability are accurate and current. Collaborate effectively with internal teams, brokers, and external partners to ensure accurate and timely flow of information. Support special projects and ad hoc assignments as needed by the Leasing or Real Estate leadership teams. Minimum 3 years of administrative experience in commercial leasing or real estate operations. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with database management and internet research. Familiarity with Deal Manager, Adobe Illustrator, and Commercial Edge preferred. Understanding of commercial leasing language and documentation. Ability to maintain and audit leasing and marketing data. Excellent organizational, communication, and decision-making skills. Strong attention to detail with the ability to manage multiple projects and deadlines. Solutions-oriented mindset with sound judgment and critical thinking. Ability to maintain confidentiality and demonstrate professionalism in all interactions. Self-motivated and capable of working independently while also thriving in a team environment. Adaptability to new systems, processes, and changing priorities in a fast-paced work setting.
