    Job Description

    ​​Looking for Philippines-based candidates Job Role: Executive Assistant Compensation range: $1,500AUD - $2,000 AUD / Monthly Engagement type: Independent Contractor Agreement Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home. Who The Client Is: We’re a boutique advisory group that helps people build long-term wealth by finding high-potential property opportunities before they hit the mainstream. Our team combines research, strategy, and hands-on guidance to help investors make confident decisions, backed by experts in finance, legal, and property development. We invest alongside our clients, keeping our interests aligned and our focus on creating genuine, lasting results. Role Overview: We’re looking for a proactive and highly competent Executive Assistant to support a fast-paced business of five staff. This role suits someone who communicates well, takes ownership, and can think ahead without needing hand-holding. You’ll be working closely with the leadership team, helping keep operations running smoothly while managing a mix of admin, coordination, and client-facing tasks.

    Key Responsibilities:

    Manage calendars, email inboxes, schedules, and daily priorities Book travel, appointments, and related logistics Maintain and update our CRM (HubSpot) Maintain OneDrive and Teams organisation Prepare reports and research as needed Handle client communication and general relationship management Prepare and manage construction updates, monthly newsletters and property research EDMs Coordinate events, including obtaining quotes, planning details, and managing logistics Support light marketing tasks such as invitations, EDMs, and social media posts Provide general admin and ad-hoc support across the business as needed Handle some personal admin (appointments, bookings, gifts, etc.) At least 3 years of experience as an Executive Assistant Proficient with HubSpot, Microsoft 365, Canva Strong English communication skills, clear, confident, and professional Experience working in fast-paced, flexible, and shifting environments Ability to meet strict deadlines when required Someone who takes initiative, solves problems independently, and owns their work Reliable, consistent output with strong attention to detail A self-starter who is committed to one role, not juggling multiple jobs
